1. Information We Collect

To operate Genify, we collect the information you choose to provide and the data needed to deliver the app's core functionality.

  • Account and profile information: Your name, email address, company, title, profile photo, and other account details you add to Genify.
  • Contacts and relationship data: Contact records, notes, tags, tasks, reminders, follow-up drafts, company details, and relationship context that you create, import, or save in the app.
  • Contact imports: If you grant contact access, we read contact details from your device or from connected services such as Google Contacts only to help you preview and import people into Genify. Google Contacts import may include names, email addresses, phone numbers, organizations, company names, and job titles from your Google address book.
  • Camera, photos, and scanned images: If you grant camera access, we collect images captured through the scanner or contact-photo flows, including business cards, event badges, QR codes, and contact images you choose to upload.
  • Audio recordings and transcripts: If you grant microphone access, we collect voice notes and meeting-note recordings that you create in Genify, along with transcripts generated from those recordings. Lily Notetaker audio is deleted after processing; its transcript and summary remain private to your account until you delete the conversation note.
  • AI-extracted and AI-generated data: With your permission, we process uploaded images, contact details, notes, tasks, relationship context, prompts, and related information to extract contact details, enrich company information, generate follow-up drafts, and support in-app AI features.
  • Lily memories: Lily stores a limited set of concise facts or preferences only when you explicitly ask Lily to remember them for future conversations. Genify does not automatically save your full Lily conversations as persistent memories.
  • Billing information: Subscription and transaction information related to your plan. Payment processing is handled by Stripe, and we do not store full payment card numbers.
  • Usage and device data: Basic technical, diagnostic, and product-analytics information needed to keep the service secure and improve it, such as pseudonymous screen names, feature actions and outcomes, approximate activity times, app platform and version, authentication state, app configuration, and push-token or notification preferences. Tag analytics records actions such as adding or filtering by a tag, but not the tag's name. Public-card and public-event analytics store aggregate visit, share, and interaction counts without a persistent visitor identifier. The analytics event content we define does not include contact names or details, searches, notes, messages, recordings, transcripts, or screen replay, and our aggregate Firebase records do not store IP addresses or device fingerprints.

2. How We Use Information

We use your information to provide, maintain, secure, and improve Genify.

  • Core app functionality: To create your account, store your contacts, organize relationship data, power scans, save notes, manage tasks, and support follow-up workflows.
  • AI processing: With your permission, we send the information needed for the AI feature you request to Google Gemini. Depending on the feature, this may include captured images, LinkedIn profile URLs, contact names, companies, roles, locations, notes, conversation transcripts, tasks, relationship context, prompts, writing preferences, and relevant CRM or Product Vault context. Google Gemini processes this information to extract contact details, research professional or company information, summarize recorded conversations, generate drafts, and power Lily responses.
  • Voice transcription: With your permission, we send voice recordings and relevant contact information to Deepgram to create more accurate text transcripts for Lily and supported voice-note features.
  • Communications and notifications: To send authentication messages, account and service updates, in-app reminders, and push notifications if you enable them.
  • Optional integrations: If you choose to connect services such as HubSpot, Google Contacts, Outlook Contacts, Gmail, Google Calendar, Outlook Calendar, Zoom, or Microsoft Teams, we use the relevant contact, task, email, attendee, calendar, or meeting data needed to complete the import, sync, or meeting-link request you initiate. Gmail relationship sync ignores common automated mail and stores a short relationship record instead of a complete mailbox copy.
  • Security, support, analytics, and improvement: To troubleshoot issues, prevent abuse, measure aggregate screen and feature use, identify workflow bottlenecks, maintain reliability, and improve product performance.

We do not use data obtained through Google APIs, including Google Contacts or Google Calendar data, to develop, improve, or train generalized AI or machine learning models.

3. Google API Limited Use Disclosure

Genify's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy(https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

When you connect Google Contacts, Genify uses Google People API data only to show an import preview and create or update contact records you choose to import into Genify. We do not sell Google Contacts data, use it for advertising, or use it to train generalized AI or machine learning models.

When you connect Google Relationship Memory, Genify uses read-only Gmail and Google Calendar access to match direct communications and completed meetings to your Genify contacts. Genify may create short summaries and suggested commitments when you have already granted AI-processing consent. You can exclude domains, turn either source off, disconnect Google, and delete imported Google relationship history from Settings.

4. Data Sharing & Security

We do not sell your personal data. We share data only when needed to operate Genify, complete a feature you request, comply with the law, or protect the service and our users.

We require service providers that receive personal data from Genify to protect it to the same or an equivalent standard.

  • Infrastructure and storage: We use Firebase and Google Cloud services to authenticate users and store app data.
  • Product analytics: We use Google Analytics for Firebase and privacy-limited aggregate records in Firebase to measure screen visits, feature use, workflow completion, and functional failures. We do not send CRM content, contact details, searches, notes, messages, recordings, transcripts, or screen replays as analytics events.
  • AI and transcription providers: After you provide in-app permission, we send relevant content to Google Gemini for supported AI features and voice recordings with relevant contact information to Deepgram for supported transcription features. If you choose “Not Now,” Genify does not send the requested content to that provider.
  • Search provider: When you request current contact or company news, we send a search query based on the relevant professional or company information to Serper to retrieve public search results.
  • Payments: Apple processes subscriptions purchased in the iOS app, and Stripe processes subscriptions purchased on the web. Genify receives limited purchase and subscription-status information needed to provide paid access and support billing.
  • User-connected integrations: If you choose to connect HubSpot, Google Contacts, Outlook Contacts, Google Calendar, Outlook Calendar, Zoom, Microsoft Teams, webhooks, or other supported integrations, we share the data required to complete the imports, syncs, or meeting-link requests you initiate.
  • User-directed sharing: If you use public card, QR, or sharing features, the contact or profile information you choose to publish may be visible to the people you share it with.

We use reasonable administrative, technical, and organizational safeguards to protect data in transit and at rest, but no system can be guaranteed completely secure.

5. Data Retention

We retain your account and workspace data for as long as your account is active or as needed to provide the service you request. A Lily memory remains available until you ask Lily to forget that specific memory or your account is deleted. If you delete content or request account deletion, we will delete or de-identify the relevant data within a reasonable period, except where we need to keep limited records for security, fraud prevention, legal compliance, dispute resolution, or legitimate business operations.

6. Your Choices and Rights

You can access or update much of your account information inside Genify. You can delete your account from Settings; deletion removes your Genify account and associated workspace data, subject to limited retention required for security, fraud prevention, legal compliance, or dispute resolution. Deleting your account does not cancel an App Store or web subscription, so cancel the subscription with the billing provider first to avoid future charges. You can ask Lily “What do you remember about me?” to review saved Lily memories, or ask Lily to forget one specific memory to delete it. Before Genify first sends information to an AI or transcription provider such as Google Gemini or Deepgram, the app explains the information and purpose and asks for your permission. You may choose “Not Now” and continue using non-AI features. You can also control permissions such as camera, microphone, contacts, and notifications in your device settings, and you can revoke Google access from your Google Account permissions. For data export, AI-processing choices, or privacy questions, contact us at support@genify.club.
